We recently wrapped up one of the most demanding rollouts our team has done: bringing idsClinic live at Medisprof Cluj's second and larger location, replacing the EHR/ERP system they had relied on for years.

This wasn't a simple installation. Medisprof's previous location already had several of our modules running, like patient portals and digital forms, connected to their old system. For this new, bigger site, everything needed to move over to idsclinic: the existing integrations, the daily workflows, and critically, their data.

Over roughly three to four months, our team worked in parallel on several fronts. We built and refined a series of clinical modules to match how Medisprof's physicians, nurses and other staff actually work, covering everything from treatment planning to imaging and discharge documentation. We reworked scheduling, permissions, billing logic, and integrations with their point-of-sale and accounting systems so that day-to-day operations wouldn't just work, but work better than before. And underneath all of it sat the hardest part: migrating years of medical and administrative history out of the old system and into the new one, so every physician could open a patient's record on day one and see their full history, not a fresh start.

We were honest with ourselves and with Medisprof about what that meant. Systems that have been in place for years hold more complexity than any audit reveals upfront, and this project was no exception. We ran into permission rules that needed to be refined after real users tested them. We hit performance slowdowns while processing the sheer volume of data and documents involved. Some equipment integrations behaved differently in production than in our test environment. And migrated data occasionally needed a second pass once discrepancies surfaced in daily use. Each of these got tracked down, discussed openly with the client, and resolved rather than papered over.

What made the difference was the people on both sides. We trained staff across reception, pharmacy, physicians, radiology, and support teams, and we kept listening through those sessions. Feedback from real users during training led to real changes before and after go-live, not just a list of tickets closed. The result: the large majority of what was requested was delivered on a tight timeline, and the feedback since launch has been genuinely positive, with staff describing their workflows as noticeably faster than before.

Replacing a healthcare system that's been running a clinic for years is never just a technical migration. It's a relationship built on transparency about what's hard, care about getting the details right, and a shared commitment to making sure clinicians and patients feel the transition as little as possible.

It was great to hear perspectives from Ion-Gheorghe PETROVAI and Adriana Dunca on community-building through FreshBlood HealthTech, Ariana Cordos, PhD on Ascom’s growing Romanian footprint, and the FreshBlood panel featuring Dragoș Paun (Eduson) and Vadim Fîntînari (WakeZ), sharing valuable lessons on building successful startups from Cluj.

Events like this highlight the strength of the local healthtech ecosystem and the value of bringing together people from different backgrounds to exchange ideas and create opportunities.
