Tip #4. Sample forms are some of the most misused forms in most tenders. Most tenderers always have no idea that these forms are just as named-SAMPLE. Sample forms are merely used to guide you on how to construct the said document accordingly. They are always a part of the procuring entity's bid invitation document and need not be filled unless clearly instructed in the same document. They include APPLICATION LETTER, CONFIDENTIAL BUSINESS QUESTIONNAIRE, GENERAL INFORMATION FORM, GENERAL EXPERIENCE RECORD FORM, JOINT VENTURE SUMMARY, PARTICULAR EXPERIENCE RECORD, PERSONNEL CAPABILITIES, CANDIDATE SUMMARY, FINANCIAL CAPABILITY AND LITIGATION HISTORY.. Some procuring entities want the forms filled while others don't so it is very important to check whether the one you're dealing with wants the same or otherwise. It is also very important to have the said documents in soft to enable editing accordingly or to transfer information in case you're filling the form.

Tip #3 in tender document preparation. Document organization is very key. There are certain way you can arrange documents that makes it really easy for an evaluator to go through your document. Most people submit tenders with the original tender document as the cover. That is a mistake as procuring entities want you to make the document to be your own. Therefore a cover on your company's letterhead with clearly typed tender number, tender name, the procuring entity's name and address and the tender closing date and time.
You also need to have a clearly typed and numbered table of contents. This makes it easier for the evaluator to know what to find and where to find it. Your table of contents should start with an Introduction/Application letter. Next should be your tender security form/bid bond then the form of tender, price schedule, statutory registration documents and so on. Past experience is very important so copies of orders for previous projects attached must be relevant to the tender you are bidding for. Audited accounts, bank statements and sometimes bank letter go a long way to demonstrate your financial capability and should also be included.
