Press Release from Department of Science & Technology...
From Paper to Digital: DST successfully transitions to e-Office
The Department of Science & Technology (DST) has officially embraced a new era of efficiency, completing its transition to the NIC e-Office digital file management system. This paperless revolution replaces cumbersome hard-copy workflows with a seamless, cloud-enabled platform hosted at the state data center by the IT Department. From electronic diarization and file creation to digital signatures and archival, the e-Office system is transforming how DST operates, ensuring security and efficiency at every step.
The Digital Journey
Launched in late 2024, this ambitious transformation was powered by a comprehensive training initiative spearheaded by the IT Department. Over two months, hands-on sessions created Master Trainers across divisions, equipping staff to lead the digital charge. A dedicated scanning team worked tirelessly to digitize existing files, paving the way for a hybrid operation phase in December 2024. On January 1, 2025, the department proudly bid farewell to physical files, ushering in a fully digital workflow.
Overcoming Challenges with Resilience
Adapting to the e-Office system wasn’t without hurdles. Transitioning from traditional methods required a mindset shift, while technical challenges—such as limited scanners, internet connectivity issues, and system glitches—demanded innovative solutions. Recognizing these hurdles, DST organized an advanced training program from January 15 to 17, 2025, focusing on practical skills like referencing, yellow note, draft for approval, screen switch, digital file approvals, and efficient use of the system. This targeted effort empowered staff to overcome obstacles and fully integrate into the digital framework.
Efficiency Unleashed
The benefits of this transformation are already evident. File processing is faster, internal communication flows effortlessly, and physical paperwork is nearly a relic of the past. The days of tracking files with manual registers and hand-delivered documents are over. Staff can access and process files remotely, ensuring uninterrupted workflow —even on official tours. The shift also delivers significant cost savings by reducing the need for stationery.
DST extends heartfelt gratitude to the IT Department for their unwavering support and innovation in driving this digital transition forward. This transition not only modernizes operations but also reinforces DST’s commitment to leveraging technology for a sustainable, efficient future.
