London Trauma Therapy is looking for a warm, detail-obsessed, and fiercely capable Client Care Coordinator to join our award-winning team. You’ll be the first point of contact for clients seeking safety, healing, and support—and the behind-the-scenes magic-maker who keeps everything running smoothly.

This Is for You If You:
Have an eagle eye for detail and a brain that runs on spreadsheets
Are warm, calm, and confident on the phone, email, and in person
Understand how to make someone feel seen and safe—even in a 3-minute phone call
Are quick on your feet, highly organized, and think three steps ahead
Know your way around WordPress (or are eager and able to learn it fast)
Handle billing, client records, and administrative tasks like it’s your second nature
Don’t mind tidying as you go—keeping a peaceful, clean, and welcoming space feels natural to you
Want to work somewhere meaningful where your contributions matter deeply
What You’ll Be Doing:
Answering client calls and emails with warmth, clarity, and professionalism
Booking, rescheduling, and managing appointments using JaneApp
Processing session payments and keeping billing up-to-date and crystal clear
Following up on outstanding payments and insurance confirmations
Maintaining, updating, and uploading documents to our systems
Keeping our serene office space clean, organized, and beautifully stocked (think: tissue boxes filled, tea restocked, pillows fluffed, candles glowing)
Updating simple content and backend pages on our WordPress site (don’t worry—it’s not code-heavy, but we’ll teach you the ropes if needed)
Managing spreadsheets for client care, scheduling, tracking, and admin flow
Supporting a growing team of exceptional therapists and clients
Basically… running the show behind the scenes (with lots of gratitude from us)
Your Toolbox Should Include:
At least 3 years of experience in client care, administrative roles, or front desk support (preferably in a healthcare or mental health setting)
Super-strong working knowledge of Google Drive Suite + spreadsheets (you dream in formulas)
Experience with (or a willingness to quickly learn) JaneApp or similar scheduling platforms
Light experience with WordPress or website backend updates
Excellent written and verbal communication skills
Comfort working in a mostly paperless, tech-forward environment
A desire to grow with a company that’s doing meaningful, heart-centered work

There are no words that can properly convey the depth of this loss, so I won’t try (it’s Jordan writing btw).
Instead, I will share with you, the LTT community, what is was like to spend 90 minutes per week for 10 months doing 1:1 consultation and mentorship with Shelby- our inaugural MSW student and the reason I kept our Internship program going.
Let me share with you what it was like to witness Shelby’s eyes light up as she began to thread pieces of the complex lives of her clients together. The dawning she felt as pieces of the puzzle came together, as new information was consolidated, as the harmony of the spiritual principles she believed in and the science of therapy danced in her mind.
Let me share with you how much she cared, so deeply about the clients she worked with, often coming into my office and taking off her shoes, crossing her legs underneath her on my couch. She would worry about you, and then realize how strong you were all along, and then she’d say, as things began to click- wowwww. Awe-struck, humble, inspired. That was Shelby.
When I first met her, I worried about *her*. I thought, “oh, this gentle soul- is this going to work for her?”. And then I sat back and trusted that she was on her path properly. As I witnessed her, I marvelled at her fortitude and strength. Someone so delicately soft, and yet an absolute powerhouse of presence. She was someone who would sit through this exact situation- the unimaginable- with grace and full presence.
Shelby helped me grow in more ways than I can count here. I know that if you met her, you’ll agree. She brightened the office. She was a flower child, a nature lover. She was open and willing and oh my god was she kind.
What an honour it was to have been in your orbit, Shelby, in your brief but dazzling adventure here on Earth. May comfort find all who will be navigating the unimaginable- her family, husband, pets and friends.
I invite you- even in this polar vortex- to look at nature. Look at the sky, the trees, the moon, the stars, the sunset, the snow, the breath you can see swimming in the air. Look at nature and remind yourself, “I am as beautiful as all this”.
I believe that Shelby would have wanted you to see your own beauty reflected back in the abundant beauty of nature. ❤️
