This Fund Usage Policy is established to ensure transparency, accountability, and sustainability in the financial management of all projects conducted by AgeSense Initiative (ASI). It defines how donated funds will be allocated and used across all organizational projects and campaigns.โฃ

For every project or fundraising campaign conducted by AgeSense Initiative (ASI), the collected donation amount shall generally be allocated as follows:โฃ

> 90% of the total funds raised will be used for direct project implementationโฃ
> 10% of the total funds raised will be allocated to general administrative and organizational support costsโฃ
โฃ
This policy ensures that the majority of donations directly benefit the intended beneficiaries while also supporting the organizational capacity required to plan, manage, and sustain impactful programs.โฃ

The 90% direct project allocation shall be used strictly for costs directly related to the ex*****on of the specific project, including but not limited to:โฃ

Procurement of project-related goods and suppliesโฃ
Beneficiary support itemsโฃ
Project-specific labor or service costsโฃ
Transportation and delivery costsโฃ
Logistics and handlingโฃ
Accommodation (if necessary for project ex*****on)โฃ
Volunteer refreshments during field operationsโฃ
Packaging and distribution costsโฃ
Venue or setup costs directly required for the projectโฃ
Other operational expenses directly tied to that projectโฃ

The 10% administrative allocation may be used to support the general operational and administrative needs of AgeSense Initiative (ASI), including but not limited to:โฃ

Staff salaries and stipendsโฃ
Office rent or workspace expensesโฃ
Organizational merchandise and branding materialsโฃ
Communication and coordination expensesโฃ
Software, tools, and subscriptionsโฃ
Printing and documentationโฃ
Banking, transaction, and financial processing chargesโฃ
Equipment or supplies for administrative operationsโฃ
Other general overhead costs necessary for sustaining the organizationโฃ

In exceptional cases, AgeSense Initiative (ASI) may adjust the above allocation ratio when the nature of a project requires a different cost structure.โฃ

Examples may include:โฃ
Emergency response projectsโฃ
In-kind donation campaignsโฃ
Projects with unusually high logistics or administrative requirementsโฃ
Sponsored or restricted-fund projects with donor-imposed conditionsโฃ
โฃ
Any such exception must:โฃ
Be approved by the Board of Executives (or authorized executive authority)โฃ
Be documented in writingโฃ
Be clearly communicated internally, and where appropriate, disclosed to donors or the publicโฃ

For every project, AgeSense Initiative (ASI) shall maintain financial records showing:โฃ

Total funds raisedโฃ
Amount allocated to direct project costsโฃ
Amount allocated to administrative costsโฃ
Breakdown of major expenditure categoriesโฃ
Supporting receipts, invoices, or documentation where availableโฃ
โฃ
Project reports may include a summary of fund utilization to maintain trust and transparency with donors, partners, and stakeholders.โฃ

All members, executives, and departments involved in project planning, fundraising, procurement, and ex*****on are expected to comply with this policy. Misuse of funds or deviation from this policy without proper authorization may result in internal disciplinary action.โฃ

This policy shall become effective upon approval by the authorized leadership of AgeSense Initiative (ASI) and shall remain in force until amended or replaced by a future resolution.โฃ
